Data Cleaning Service Guide

How to clean a messy contact list for a client, from the first message to the delivered file — using free tools that run in your browser.

â„šī¸ No income promises. These guides teach a skill and a way to offer it. Whether you earn anything depends on your effort, your market, and the clients you find. Some people will not land a paying client, and nothing here guarantees one.

What Clients Actually Need

Most small businesses have a spreadsheet they are afraid to use: a lead list exported from a prospecting tool, a customer list merged from three places, or sign-ups typed in by hand. The usual problems are the same every time.

â€ĸ The same person appears more than once
â€ĸ Blank rows and stray spaces break imports
â€ĸ Phone numbers and dates are written five different ways
â€ĸ Names are in ALL CAPITALS or all lowercase
â€ĸ Some email addresses are obviously broken

Your service is simple to describe: they send a messy file, you send back a clean one and a report of what changed. The report is what makes it professional.

The Job, Step by Step

1. Ask before you quote. How many rows, where the file is going, and which duplicates to keep. Use the client intake questions.

2. Keep the original. Save an untouched copy. You will need it to check your work and to answer questions later.

3. Score it first. Run the file through the Data Health Score. The before-score is a simple way to show the client where they started.

4. Clean it. Open the CSV Cleaner, upload the CSV or Excel file, and choose the options that fit the job. For a contact list that usually means all of them. Use Merge duplicate emails only when each person should appear once; leave it off for order histories or anything where repeat rows are normal.

5. Read the report. The "Needs review" section lists every value the tool was not sure about: phones and dates it could not recognize, invalid emails, rows with too many cells. The tool leaves these unchanged. Fix the ones you are certain about by hand and list the rest for the client.

6. Check your own work. Go through the delivery checklist. Compare ten random rows with the original.

7. Deliver two files. The cleaned CSV and the change report, with a short message: rows in, rows out, what you removed, what you standardized, and what still needs their decision.

The change report

What the Tools Do Not Do

Be exact about this with clients. It protects you.

â€ĸ They check email format, not whether the mailbox exists. Never call a list "verified" on the strength of a format check.
â€ĸ They do not find missing information. No job titles, no phone numbers, no company details.
â€ĸ They are rule-based, not AI. That is a strength: every change follows a rule you can explain, and every change is in the log.
â€ĸ They do not catch near-duplicates such as the same person with two different email addresses. Sort by name and look.

Free Tools vs. Human Services

SmartDataAI offers two different things. Please do not mix them up when you talk to clients.

Free browser tools

Run on your own computer. Nothing is uploaded, there is no signup, and nobody at SmartDataAI sees the file. Rule-based, not AI. You — or your client — do the work.

Optional human services

A person cleans the file for a fee. The client chooses to send the file, and it is handled under our Privacy Policy. See the $19 cleaning service or ask for a quote.
